Email is not a safe route for patient data, and attachment limits make large exports impractical. Uploads gives the care team a direct, audited channel to send data files to the Vital team for analysis, reviews and collaboration.

Sending a file
Open Data › Uploads and stay on the Upload tab. Drag a file onto the drop zone, or select the zone to browse. Files up to 2 GB are accepted.
Enter a Description. It is required, and it is the first thing the Vital team reads, so describe what the file contains and the period it covers rather than repeating the file name. Category is optional free text that groups related uploads, for example Patient Data, Reports or Operations.
Select Upload File to send it.
Choosing the facility
An upload belongs to one facility. The form displays Uploading to above the drop zone, so the destination is visible before anything is sent.
If the facility picker has more than one facility selected, the form asks for a single facility, because multi-facility uploads are not supported. If no facility is selected, the form prompts for one before the drop zone appears.
Tracking a file
The History tab lists every upload for the facility, showing who sent it and when. Each upload carries a status.

Pending | The file has been sent and is still transferring |
Completed | The file arrived and the Vital team can retrieve it |
Failed | The transfer did not finish. Send the file again from the Upload tab |
Every download is recorded against the person who made it, so handling stays auditable after the file arrives.
Frequently asked questions
Who can retrieve a file after it is uploaded?
The Vital team, and Care Team members with access to that facility. An upload is scoped to the facility it was sent to, and a download from anyone without access to that facility is refused.
Can one file be uploaded for several facilities at once?
No. Send it once per facility, so each upload stays attached to the facility it belongs to.
How large a file can be sent?
Up to 2 GB. For anything larger, contact the Vital team rather than splitting the file.
