The Visits List

How to read and filter the Visits list, and how long a visit stays on it.

The Visits list is the main working view in Vital Care Team. It carries every patient currently in the facility's care, with where they are, how long they have been there, and whether Vital has reached them.

Opening the list

On a computer, select Visits in the left sidebar. On a phone or tablet, select Visits in the navigation bar at the bottom of the screen.

The list covers one facility at a time. Use the Facility picker to switch between the facilities the account has access to.

Filtering and sorting

Five controls sit above the list: Facility, Location, Status, Tags, and Sort by. On a phone these stack vertically above the first patient.

Location narrows the list to a unit, and is the filter most often left set from a previous shift. Status separates active visits from ended ones. Tags surfaces patients by wait status or login state.

On a computer, select a column header to sort by that column, and select it again to reverse the order. Sorting applies to the whole filtered list rather than the visible portion, so a narrow Location filter can make a sort appear to do nothing.

What each column displays

Column

Displays

Patient

Name, age, sex, reason for visit, and any tags

Location

The patient's room. Where the current and assigned locations differ, both appear

Status

The current stage of the visit. See Understanding Visit Status

Length of Stay

Time elapsed since the visit started

Actions

Per-patient actions, including messaging and sending an invite

Tags

Tags mark patients who need attention without requiring anyone to read every row. Long Wait Time Tagging covers how the wait thresholds are set.

Tag

Meaning

Experiencing Long Wait

The patient is over the wait threshold on their current step right now. This is the one to act on

Long Wait

A wait threshold was passed earlier in the visit. The tag names the step, for example Long Wait: Triage

Has Logged In

The patient has opened the patient app

How long a visit stays on the list

The list is built from when a visit started, not from when it ended. A discharged patient therefore remains visible for a period, which is deliberate: the work of a visit often continues after discharge.

Visit type

Stays on the list

Emergency

36 hours from the start of the emergency visit, including visits already discharged

Inpatient

60 days from the start of the visit

A visit ended manually by the care team behaves differently by type. An emergency visit stays visible until 36 hours after its start. An inpatient or direct-admit visit leaves the list immediately.

Where the data comes from

Visits arrive from the hospital feed and are never entered by hand. The list refreshes on its own as admissions, transfers and discharges arrive, so it reflects the hospital record rather than a separate copy of it.

Frequently asked questions

Is there a delay between Care Team and the EHR trackboard?

The list updates as the feed delivers changes, so the two should agree within moments. A patient visible on the trackboard and absent here has usually not had their location delivered yet.

Can patients from several facilities appear in one list?

No. The list covers a single facility, and the Facility picker switches between them.

A patient is not appearing. What should be checked first?

The Location filter, before anything else. A patient assigned to another unit will not appear while that filter is set.

How is a patient removed from the list?

Patients are not removed by hand. An ended visit drops off on the schedule above, and a visit can be marked as ended early when a patient has clearly left and the hospital record has not caught up.
